HVAC maintenance agreement software: what to compare
Published by Relay, a field service software provider. Based on vendor documentation checked November 4, 2026, with original evaluation scenarios rather than hands-on testing.
Choose HVAC maintenance agreement software by checking what you have promised, what work remains, and what happens next. A recurring payment, a visit on the calendar, and a renewed agreement answer different questions. Your software should let you inspect each one.
Bring a small fictional sample to each demonstration: an annual prepaid agreement, a monthly payment arrangement, a completed visit with another still owed, and a plan approaching its term boundary. Use terms that reflect the agreements your business sells.
Find the visit you still owe
For each sample, identify the customer, property or covered equipment, service scope, term, included visits, completed work, and remaining obligation. Postpone one visit and find it again from the owner's normal working screen. A payment should not make undelivered work look complete.
Housecall Pro's service-plan dashboard separates billing due and unscheduled visits. Workiz documents template and custom-plan enrollment with a property, service period, and visits. Jobber documents recurring jobs with repeating visits and billing arrangements. These are useful starting models, not proof that every agreement fits without additional setup.
Complete a sample visit and inspect the resulting history. If a technician cannot complete part of the promised work, ask how it remains visible. Test the roles your team uses, including the owner on a phone, rather than relying only on an administrator's demonstration.
Follow an owed visit into a real appointment
A list of due visits helps only if someone can turn it into feasible work. Ask who contacts the customer, what the customer receives, which days or windows are offered, and how the accepted choice reaches the schedule. A reminder sent is not an appointment booked.
Relay records maintenance visits owed by a plan and can send a scheduling invitation with reminders for currently bookable visits. The customer can choose supported availability, or eligible voice and SMS conversations can help book the owed work. An unbooked owed visit is distinct from a scheduled job. Review the agreement and the resulting appointment together.
Try a full day and a service address that creates substantial travel. The booking needs to fit the team's capacity and customer promises. Our SMS booking guide explains route-aware offers and the difference between flexible planning and same-day booking that protects existing visit times.
Check billing and renewal separately
Ask to see what is charged, when it is charged, and which record proves payment. Then examine a declined payment, a customer who has not accepted a proposed renewal, and a fixed-term agreement reaching its end. A renewal reminder is not proof of acceptance or a successful charge.
Housecall Pro's renewal guide distinguishes sending a renewal to the customer from completing the payment step. Match the proposed workflow to your own terms, including notice and cancellation arrangements where applicable. Do not infer account-specific renewal behavior from the word “subscription.”
Relay separates included maintenance work from plan billing and renewal. Its maintenance-plan overview describes property and equipment coverage. Confirm the configured agreement's billing, term, and remaining work before importing existing plans or changing how customers pay.
Test a paid plan with unfinished work
Fictional scenario: a customer prepaid for two visits. One is complete; the other was postponed. The agreement ends next month. Ask the vendor to show the unfinished visit, the current payment position, and any proposed next agreement without merging those facts into one “active” label.
Now move the postponed visit and inspect what the technician receives. Then review renewal without completing it. The owner should still be able to explain what was sold, what has been performed, and what requires a decision under the agreement. Record any workaround and who maintains it.
Include your expected number of plans, users, and required communications in the quote. Workiz's pricing matrix, for example, places service plans in Ultimate. Confirm the current package for every vendor; the broad platform subscription may not contain the workflow demonstrated.
Choose on reconciled obligations and demonstrated booking
Require a sample that reconciles to the fictional agreements you supplied. These buying tests do not represent hands-on product testing.
- Can you distinguish paid, owed, scheduled, and completed work?
- Can the customer book an eligible visit into a feasible day without somebody copying the request?
- Does postponed or incomplete work remain understandable?
- Are renewal, acceptance, and payment shown as separate outcomes?
- Can you perform the follow-up from the device you use in the field?
