AI receptionist for HVAC companies

While you’re on a job, Relay can answer the next call, gather the service details and check for a workable opening. The conversation becomes a booked visit or a clear next step for you.

Part of Relay’s field service software, with scheduling, estimates and invoices. See pricing and included usage.

A service booking when it fits. Your attention when it doesn’t.

Scripted examples with sample data, not live AI calls. The four-hour arrival windows shown are illustrative; your business configures its own windows.

What the caller needs

“Our upstairs system isn’t cooling well. Can I arrange a service visit?”

A new service request at a sample property inside the company’s service area.

  1. Confirm the service address and what the customer needs.
  2. Check a workable opening on the Relay schedule.
  3. Offer the configured arrival window and confirm the customer’s choice.

Offer a window the schedule can support

An HVAC answering service is useful only if the next promise is workable. Relay checks the service address and schedule before offering a time. The customer chooses an arrival window; the job retains the agreed service details and confirmation.

The planned arrival can change inside that window as the day changes. That is different from promising a particular technician will arrive at an exact minute. See how Relay booking works.

After-hours answering does not mean every job is an after-hours appointment. Relay works from your configured coverage. A request for a person, a safety issue or something it should not decide comes to you with the conversation context.

Answering, texting and your business number

Your team and Relay can answer the same business number. Your existing number can forward calls to Relay, and you can review the call summary and available transcript with the customer. See the business phone workflow.

AI answering and missed-call follow-up are separate. With missed-call follow-up enabled, Relay can text eligible callers you could not reach. AI replies to new callers need to be enabled separately. Otherwise, you handle the text reply.

Compare the handoff as well as the greeting. Our Jobber vs Housecall Pro guide includes a test of customer replies, technician access and callback ownership.
